Summary
As a Procurement Officer, you will be responsible for managing the day-to-day procurement activities, ensuring the timely and cost-effective acquisition of goods and services while focusing on assessing vendors risks under the supervision of the Procurement & Corporate Project Manager.
You will play a key role in negotiating with suppliers, managing contracts, and maintaining strong relationships with vendors to support the organization's operational needs and meet quality standard of our products.
It requires nationwide coverage across all regions (e.g. Luxembourg, France, Morocco, Monaco…).
Missions of the role
• Procurement Operations: Manage the end-to-end procurement process. Review and validate all Purchase Order in the ERP in accordance with the internal procedures. Evalue supplier quotation and make recommendation based on commercial and technical criteria to Po issuers. Monitor PO status and ensure timely delivery of good and services.
• Supplier Management
Identify, evaluate, and select reliable suppliers based on quality, price, and delivery capabilities.
Maintain and update supplier databases and contracts.
• Compliance with Regulatory standards:
Monitor Level of compliancy from vendors with eIDAS, GDPR, DORA, ISO certifications…
Conduct periodical risk assessment.
• Governance and Documentation:
Ensure all procurement activities comply with company policies, legal requirements, and ethical standards.
Maintain accurate records of purchases. In collaboration with our Legal Department, manage Suppliers contracts and communications.
• Purchase Orders & Contracts:
Prepare, issue, and track purchase orders in accordance with company policies and procedures.
Negotiate terms and conditions with suppliers to secure advantageous pricing and payment terms.
• Stakeholder Collaboration:
Work closely with finance, operations, IT Security, Compliance, CSR and project teams to align procurement activities with organizational goals.
Provide regular reports on procurement activities, spending, and supplier performance.
• Cost Optimization:
Analyze market trends and supplier pricing to identify cost-saving opportunities.
Implement strategies to reduce procurement costs while maintaining quality standards.
• Reporting & Analysis: prepare procurement reports and KPI. Analyse purchasing data and market trends. Support budgeting and forecasting activities.
Required skills
• Qualifications / diploma(s): Bachelor degree in Business Administration, Supply Chain Management, Finance, or a related field.
• Years of experience in the area: 2 to 5 years of experience as Procurement Officer or in a similar Procurement role
• Technical Competencies:
- Knowledge in procurement software and continuous improvement of procurement ways of working (not only execution)
- Strong understanding of procurement processes (ideally on CSSF circulars), contract management, and negotiation techniques.
- Proficient in MS Office (good command of Excel is an Asset)
• Languages: French and English fluent. Any other language is an asset
• Specific skills:
- Excellent communication and interpersonal skills for effective supplier and stakeholder management.
- Strong negotiation skills
- Strong analytical and problem-solving abilities to optimize procurement strategies.
- Attention to detail and organizational skills to manage multiple tasks and deadlines
- Knowledge of relevant regulations and compliance standards in procurement.
